Employee onboarding management
Registering an employee is a mandatory requirement for formalizing their employment with a company. This procedure is carried out with the Social Security Administration and must be completed before the employee begins working.
What is the procedure?
- Obtain the affiliation number: If the worker has never been registered with Social Security, the company must request their affiliation number.
- Reporting the registration: You must submit form TA.2/S to the General Treasury of Social Security (TGSS) or complete the procedure through the RED system.
- Employment contract: Sign the contract and notify the State Public Employment Service (SEPE) within a maximum period of 10 working days.
- Registration with the mutual insurance company: The company must register the worker with a mutual insurance company collaborating with the Social Security system for occupational risk coverage.
- Document Registration and Storage: Maintain document control to facilitate audits and reviews.
Deadlines and sanctions
- Registration must be completed before the start of the worker's employment.
- In case of non-compliance, the company may face fines ranging from 626 to 6,250 euros depending on the severity of the infringement.

Employee leave management
Managing the deregistration of an employee from Social Security is a necessary procedure when the employment relationship ends, whether due to dismissal, voluntary resignation, contract termination, or any other legally established cause.
What is the procedure?
- Notification to the employee: The company must communicate the termination decision and, if applicable, comply with the notice period established in the collective agreement.
- Application for deregistration from Social Security: Form TA.2/S must be submitted through the RED system or in person at the TGSS.
- Settlement and final settlement: The company is obliged to pay the outstanding amounts (salary, unused vacation, extra payments, compensation, if applicable, etc.).
- Notify the SEPE of the termination: If the worker is entitled to unemployment benefits, the company must notify the termination and provide the company certificate.
Deadlines and sanctions
- The termination of employment must be communicated within three days of the end of the employment relationship.
- If the company does not report the issue in time, it could be fined between 60 and 625 euros.
Registrations and cancellations of self-employed workers
Self-employed workers must also manage their registrations and cancellations with Social Security through the Special Regime for Self-Employed Workers (RETA).
Self-employed registration management
- Tax Registration: Using form 036 or 037 at the Tax Agency.
- Registration in the RETA: This is done at the Social Security office.
- Choice of contribution base: Depending on the expected income.
Self-employed workers' sick leave management
- Notify the Tax Office and the RETA (Special Regime for Self-Employed Workers) of your deregistration.
- Settle outstanding taxes.
- Request cessation of activity if applicable.
